Client Service Specialist

Badgley Phelps Wealth Managers, a downtown Seattle wealth management firm is seeking an experienced professional as a Client Service Specialist to provide support to a team of wealth managers. Client service, portfolio support, marketing, and general administrative assistance are key components of this job.

Client Service

In coordination with a team of wealth managers, build and maintain strong client relationships. Understand and anticipate client requirements and expectations, troubleshoot service issues and provide outstanding service. Process client requests thoroughly, accurately and punctually, and effectively communicate with the managers on each client interaction. Work with client accountants, attorneys and bankers as needed. Process new account set-ups and coordinate account transfers with custodians including ACAT, non-ACAT and rollovers. Track and initiate scheduled funds transfers as required. Schedule/coordinate client meetings and prepare necessary materials. Use and maintain our firm’s client relationship management system.

Portfolio Support

Work with wealth managers in the preparation of client correspondence. Use portfolio management system, custodian reporting systems and Excel to generate client reports as required. Track/update security cost basis information when required.


Coordinate meetings, schedule conference rooms, organize presentation materials and prepare presentation booklets using PowerPoint. Assist with the preparation of materials necessary for meetings with current and prospective clients as requested.

General Administrative Support

Tasks include word processing, organize and prepare materials, filing, scanning, faxing, copying and scheduling/calendar management. Excellent telephone and email skills required. Provide back-up support to other members of the Client Service team and Receptionist as needed. Handle special projects as assigned.


Minimum three years of relevant work experience within the wealth management/securities industry in roles that interface directly with clients. This individual must be able to interact professionally with the firm’s clients and employees, plus demonstrate good judgment/diplomacy when working under stressful situations. Experience working with Schwab and processing Schwab account paperwork preferred. The candidate must be able to multi-task and work independently while anticipating and responding to the needs of the wealth managers. Strong organizational and communication skills plus attention to detail and follow-through are key requirements. The candidate must be very proficient using Word, PowerPoint, Excel and CRM systems; experience with Advent APX a plus.
